What is an informative registration label?

When registering a work with Safe Creative, the system assigns a registration number and a label that identifies it. This is not a label devoid of content (hence the term informative). If you request information, and it is linked via its HTML code, it will offer direct access to the work's registration, where details such as title, author or authors, rights holders, registration date, and the usage license granted are available.

How to download the informative label?

• Locate your registration under "Works."
• Click on the title or image.
• Select the "Actions" tab.
• Go to "Informative Labels" in the menu on the left.
• Select the labels you prefer: “dynamic” or “static.”

How to include the registration label in the document for registration?

If the registration of a work is left unfinished or a code has been reserved, it is possible to edit and make any changes, including the file, and thus include the Safe Creative registration label in the document to be registered with the label:

• We start the work registration process and select "Save without finishing."
• Then we go to “Works” and access the corresponding registration.
• Select the "Actions" tab.
• Go to "Informative Labels" in the menu on the left.
• Select the labels you prefer: “dynamic” or “static.”
• On our end, we edit the file and include the label.
• We return to the registration and, from the "Work" tab, upload the new file with the label already included.
• We finalize the registration.

Information and Management of Registrations Made in Safe Creative

When you register a creation in Safe Creative, you can select the type of information you wish to provide about it. We offer you two options:

1. No public information*: This is a completely private registration, accessible only by the account user, ideal for works in progress that are intended to be kept secret.
2. Registration information only (recommended): Displays basic registration information without allowing access or download of the registered file, useful for sharing with deterrent and preventive purposes.

*What is public information?

The public information of the registration includes the name of the work, the author or rights holders, and the declared rights reservation. This information can be shared via URL or informational tags generated by each registration, with the goal of informing, deterring, and preventing misuse.

Management of Registrations:

The management of registrations, available to users with an active subscription or who have made an individual payment in the last 12 months, allows the download of technical proofs, certificates, and the making of modifications in the declared license or the type of registration information displayed.

Safe Creative allows users to provide evidence supporting the declaration of the creative process behind a work. In this section, users can store ideas, preliminary sketches, drafts, notes, excerpts, intermediate versions, instructions given to artificial intelligence tools, screenshots of work in progress, and documentation about the tools used. All of this is part of the material generated by the author during the development of their creation.

Each time a new creative piece is added, Safe Creative generates a timestamp that strengthens the proof of authorship, even before the final work is registered.

Once the finished work is registered, the author can link the previously saved creative pieces and obtain a certificate that documents the entire creative process.

This documentation becomes part of the registration and serves as key evidence to prove authorship, precisely determine the applicable protection for the work, and defend the author's rights in case of disputes.

Once a work has been registered, its essential data cannot be modified, as the registration certifies that the work existed in that specific form at the UTC date and time of registration. However, certain aspects can be updated:

1. What CANNOT be changed?

The following elements cannot be modified after registration, as the registration certifies a specific version at a specific moment:

• The title of the work

• The author

• The content of the work

Options in case of changes to the work

A) New version:

If the work undergoes substantial modification, a new registration must be performed, which will generate new proof with its own code, fingerprint, and timestamp.

If the work has been corrected or expanded, it must be registered as a derivative work, in accordance with Article 11 of the Spanish Intellectual Property Law (LPI).
If you have a personal or business subscription, you can use the version registration feature included in the services. This allows you to maintain an internal relationship between the different registrations, which will be visible if the registrations are public. Otherwise, simply create a new registration.

Regarding the title of the new work, the LPI does not prohibit reusing the same title as the first version, although this may lead to conflicts if the title is not original and is already used by another work.

B) Corrections for typos

In the case of typographical errors in the title or the author's name at the time of registration, it is possible to request a correction. However, such corrections must be simple typos and not substantial modifications.

Important: In both cases, a new registration will be generated with the current date, new proof, and timestamps. Versions and/or corrections are internally and visibly linked to the different registrations, so it is possible to access all related versions starting from any one of their codes.

If you want to change the thumbnail or preview image displayed in a work's registration on Safe Creative, follow these steps:

1. Go to the “Works” section.
   Locate the work whose image you want to change and click either on the image or the title of the registration.

2. Access the public information settings.
   In the side menu, select “Registrations / Public Information.”

3. Click on “Change thumbnail.”
   A button labeled “Change thumbnail” will appear—click it to continue.

4. Choose a new image.

   • You can upload an image from your device, or

   • Use the default generic image provided by the Safe Creative registration system.

5. Save your changes.
   Make sure to click Save after uploading or selecting the new image to apply the changes.

The code reservation feature allows you to obtain the registration's informational labels in advance, which can be attached to the file containing the work. This way, the resulting file can be uploaded in a final step.

This functionality is typically used for registrations that allow the original file to be downloaded.

The registration will appear under “WORKS” marked as “Reserved code (file missing).” By clicking on it, you can access its editing view and go to the “Registration / Submitted files” section to upload the file.

Important: The timestamp with the UTC date and time of the registration will be completed with the UTC date and time when the file is uploaded and the registration becomes final.

This functionality is available in Personal and Business subscriptions.

What is the purpose of batch editing of registrations?

From the "REGISTRATIONS" tab, joint actions can be managed for several registrations at once by selecting them and, from "Manage selected", applying the desired action from the dropdown to the selection of registrations.

What are metadata?

Metadata are pieces of information that are internally included in a digital file.

This data can be accessed with specific programs for this purpose and allows for the retrieval of relevant information about the file.

Including Rights Information in the Work File:

Safe Creative offers the possibility of generating and downloading a copy of the file with registration information. This option is active in the advanced registration services for some types of files and works, such as images and audio. Keep in mind that the file with metadata consumes your storage space because it makes a copy of the registered file, but with modifications in the file's own data.

Files with compatible image types: .gif, .png, .jpeg, .jpeg2000, .tiff, .psd, and .pdf.
Compatible audio files: mp3.

Information included in IMAGES:

- The title of the work, the name of the author or authors, and the link to the page of its registration (URL). Thus, it will always be possible to consult the updated information on the rights of the work. The link to the Safe Creative registration page is a pointer to the address where the information is located. In the copy, and visibly, the link to the public information page of the registration in Safe Creative is also displayed.
- Metadata with information that is included internally in the digital file are also maintained.

Metadata exported using standard nomenclature:

- Title of the work: Dublin Core: title
- Author/s: In authorship inscriptions (not in rights-only) Dublin Core: creator and in pdf files also in the author field.
- URL rights information: Dublin Core: rights and XMP-Rights: webStatement
- Work code: IPTC Core v1.1 extension for XMP: regItemId
- Registration organization: IPTC Core v1.1 extension for XMP: regOrgId (Pointing to http://www.safecreative.org)

Information included in AUDIO FILES:

- A copy of the mp3 file with the same audio is created, and in ID3 version 1 includes: the title if it is empty and the comment informing of the registration in Safe Creative with the code.
- In ID3 version 2.4 includes: the title if it is empty, the copyright field, and the copyright link field pointing to the public registration page in Safe Creative.

Download:

On the registration management screen, go to the "Work" tab.
Scroll down to the "Registration / Submitted files" section.
There, you can download the original file or generate a version with rights information (including metadata).

The statistics service shows free of charge general information about visits of all the registered works, or a specific work, by marking and filtering the data set by activating the “selected” one.

Professional and corporate subscription adds more statistic information to the basic service:

• Number of downloads of works (in general or for a specific work),
• Number of briefings requested (in general or for a specific work)
• Contact details of users who requested the registration declaration notes (if they have the public profile enabled)
• Graphs which cover all the statistical information.

How to Send a Misuse Notification (Cease & Desist)?

From the menu of each registered work, you can send a misuse notification (cease & desist) if it has been plagiarized or allegedly used unlawfully. An automatic letter will be sent to the allegedly infringing person requesting that they stop such activity.

• Click on the image or the title of the work and go to "Actions".
• Once there, scroll down to "Report Misuse" and click on the "Notify" button.

To proceed with the sending, you need to obtain the email address of the alleged infringer. They will receive an email with a link that will allow them to respond. If they respond, you will also receive a notification by email and, once you receive such a response, you can assess further actions to take.

Contract Drafting Wizard

This wizard is a tool for assisted drafting of contracts with licensing conditions, distribution, scope, period, price, etc., defined by the author. It is a service included in "Personal and Corporate" subscriptions.

You can generate contracts by accessing the "Services" section within your account, then select from the menu: "Contract Wizard" and then press the + "Generate new contract" button. These can be digitally signed between the parties with Safe Stamper Signature.

You will also find a repository of "Standard Contracts" in the same section.

Can I give access to collaborators or employees to operate on my Safe Creative account?

Yes, with a corporate subscription, you can add operators from “My Account” > “Operators,” specifying the services they will have access to.

If you add an operator from the list, they will by default have access to all available services.

Operators can:

• Register works on behalf of the administrator.
• Use the available services.
• Consult the account's records and documents, including those provided by the administrator and other operators.

They cannot:

• Consult the administrator's personal information.
• Make payments or modify payment methods.

If you have a corporate account with Safe Stamper, you will also have the same operators, but they will not have access to the services until manually granted.

When the corporate subscription expires, the operators' access is disabled, although the use of their email addresses in Safe Creative accounts is reserved so they can be reactivated if the subscription is renewed.

How do you add a new operator?

Users with a business subscription can add operators to perform functions on their behalf.

To add a new operator, place your cursor over your name to open the user menu and select "Settings." From there, go to "Manage Operators." On the "Operators" screen, select "New Operator" and then enter the email and password to register the new operator.

In the "Operators" screen listing, you can choose whether the user has operator access to Safe Creative, Safe Stamper, or both.

Important: Operators are users who can register or certify from your corporate account.
If you have a corporate account in Safe Creative and Safe Stamper, you can choose which product they have access to.

• Operators do not have access to: Payment methods, purchases, or information and data from other users.
• In Safe Creative: they have access to all registrations.
• In Safe Stamper: they only have access to their own certificates.
• The account owner has access to all certificates.

Once the registration of a work is completed:

• Go to WORKS

• Click on the image or title of the registered work

• Select the "Registration" tab

• In the left menu, click on “Submitted files”

• Click the "Add creative components" button to attach all the files and/or folders that will serve as evidentiary support for the originally registered work

A certificate of the creative process for that work will be generated and can be downloaded from the "Actions / Certificates" section.
